Position Background: <br>

This position is responsible for receiving, reviewing and assigning every document that comes into our company to the appropriate account manager. This position will also involve interpreting the urgency and importance of each document as it applies to our accounting system; real life experience in handling a myriad of documents ranging from credit card receipts to IRS notices, bank and credit card statements, handwritten notes, insurance policies, settlement statements, tax preparation documents, payroll tax returns, income tax returns, etc., is important. Also the ability to discern between basic junk mail and a document that needs immediate action is critical. This position is additionally responsible for managing all the workflow for 4 CPAs and making sure every task is being completed on time and that no client request or scheduled work falls through the cracks. <br>

In addition, the person fulfilling this position will be responsible for scanning and naming documents to be loaded into the company server. The file naming tasks require in-depth understanding of a wide variety of business and personal documents, as noted above. Familiarity with Adobe Acrobat Professional and .pdf document creation is extremely beneficial along with a superior knowledge of MS Word and Excel. <br>
<br>
Some Quickbooks data entry will also be part of the tasks assigned to this position. Basic Quickbooks skills are required, such as entering vendor bills, checks and credit card transactions. <br>
<br>
Ease and comfort with adopting new and unfamiliar software is also important. We are a growing company and embrace new web-based software on a regular basis, requiring us to continually adapt to change and new situations. <br>
<br>
The person in this position will also be responsible for the front desk/receptionist activities in a low volume small business suites environment.  Familiarity with phone answering, voicemail systems and networked office machinery is a plus.<br>

This is a part-time position, working into a full-time position after the first month.<br>

	RESPONSIBILITIES<br>

	The first and foremost responsibility of this position is to insure customer satisfaction by scheduling demand and contract service calls within required timeframes.  This includes taking service calls via telephone and taking all necessary action to insure service opportunities are resolved. <br>

	Responsible for timely billing of service work including demand T&M, contract T&I, and monitoring services. <br>
<br>
	Responsible for the maintenance and upkeep of service files and the service database. <br>
<br>
	PRINCIPAL DUTIES<br>
<br>
	Receive incoming service calls from customers and obtain all necessary information including customer name, site name, address and phone number, problem presented, day, time, and billing information.<br>
<br>
	Dispatch service personnel as needed to complete service calls.<br>
<br>
	Obtain material as needed for service issues.<br>
<br>
	Insure all material received is invoiced or returned<br>
<br>
	Insure, with no exceptions, all emergency calls are handled as needed. <br>
<br>
	Complete weekly schedule for technicians, organize and fill out related paperwork, and distribute at week end.  <br>
<br>
	Gather weekly timesheets, service orders, etc. from field personnel and insure completeness and accuracy.  <br>
<br>
	Insure all paperwork is received, complete, and accurate from field personnel. <br>
<br>
	Generate open ticket report weekly to insure all service calls have been resolved. <br>
<br>
	Complete a weekly operations report indicating the number and type of service calls received and completed for the week. <br>
<br>
	Maintain schedules of contract T&M commitments, coordinate dates of service, and contact customers in advance to schedule site visit.  Insure all visits are performed in accordance with contract requirements.<br>
<br>
	Obtain and renew UL certificates for contract customers per contract requirements.<br>
<br>
	Maintain permanent service folders for each service customer and organize to differentiate customers (contract, T&M, monitoring).  Keep all service orders, billings, customer information, etc. current. <br>
<br>
	Maintain current customer monitoring information.<br>
<br>
<br>
	Follow up on monitoring signals received with the appropriate action as needed. <br>
<br>
	Complete billing for all demand (T&M) service work performed on a weekly basis. <br>
<br>
	Maintain monthly running total of service worked billed and report to Service Manager and Controller at month end<br>
<br>
	Complete billing for all contract service work per contract specifications.  Insure billings are generated and mailed on a regular, consistent basis. <br>
<br>
	Perform collections of service invoices. <br>
<br>
	Assist project managers with labor coordination as needed.<br>
<br>
	Develop professional relationships with customers<br>

SUPERVISOR	Distance Learning Manager<br>

BASIC FUNCTION<br>

Coordinate development, marketing, and implementation of more than twenty continuing medical education programs at TMA’s annual meeting; assist with production of TMA’s Fall and Winter Conference programming; and cross-train with the distance learning manager to provide off-season back-up for production of TMA’s practice management distance learning programs. <br>
<br>
MAJOR RESPONSIBILITIES/TASKS<br>
<br>
1.	Coordinate development of continuing medical education programs at TMA conferences.  Gather background data for physician planners, develop and ensure timely completion of production schedules, research and conduct course needs assessment, prepare applications for continuing medical education accreditation, and ensure compliance with standards of the Accreditation Council for Continuing Medical Education (ACCME). <br>
<br>
2.	Coordinate speaker activities for conference programming. Prepare speaker letters, track CME commercial disclosures, upload handouts and presentations, and process honoraria and travel reimbursements, track and develop speaker evaluation summaries.<br>
<br>
3.	Coordinate logistics for conference programming. Set up programs in TMA’s data base, process registrations, reconcile continuing medical education reporting forms, provide on-site staffing, and answer telephone and e-mail inquiries. <br>
<br>
4.	Coordinate marketing activities. Write copy and coordinate development of conference promotional materials with in-house graphics department. This includes brochures, ads,  target mailings, and conference Web sites. <br>
<br>
5.	Participate in the general administrative activities of the department.   This includes weekly department staff meetings, quality improvement committees, and conference production teams.  Position will be cross-trained to cover distance learning program development and implementation as needed, along with off-site staffing of live seminars. <br>
<br>
<br>
SUPERVISORY RESPONSIBILITY<br>
<br>
No direct supervisory responsibility. This position will, however, serve as the leader of a four-person production team of peers that develops continuing medical education programs for the annual conference.<br>
 <br>
INDEPENDENCE/SUPERVISION RECEIVED<br>
<br>
Duties are performed independently according to department policies and procedures; however, methods and procedures may not be specifically defined.  Employee is often required to develop or research appropriate methods and procedures to be used.<br>

Knowledge and Experience<br>
This position requires concentrated understanding of a specialized area of knowledge normally acquired through attainment of a bachelor’s degree in a related field, plus 2 to 3 year’s experience.   Degree in education, communication, or liberal arts discipline preferred. <br>
