We are looking for a seasoned administrative professional with strong accounting and office management skills who can step into this role with confidence, independence, and minimal training.

What We’re Looking For:

We are seeking an experienced professional who:

Brings common sense, sound judgment, and critical thinking to daily work

Has strong accounting and QuickBooks experience

Is proficient in Excel and 10-key entry

Can work independently and take initiative without constant supervision

Thrives in a small business environment and can wear multiple hats

Demonstrates excellent organization, accuracy, and follow-through

Is bilingual (English/Spanish), strongly preferred



This is not an entry level role. We expect a candidate who requires little to no training and can contribute value immediately.

Key Responsibilities:

Manage office operations and ensure smooth day to day workflow

Process sales orders, invoices, and subcontractor payroll in QuickBooks with speed and accuracy

Maintain vendor and subcontractor compliance (W9s, insurance, etc.)

Communicate effectively with customers, subcontractors, and team members

Handle a large volume of paperwork and electronic files with precision

Resolve billing issues and customer concerns proactively

Prepare and review financial records, bids, and business applications

Keep accurate account balances and vendor records

Support leadership in administrative and accounting projects



Qualifications:

Minimum 4 years of professional office and accounting experience (required)

Proficiency in QuickBooks and Microsoft Excel

Strong written and verbal communication skills

Ability to solve problems independently and make informed decisions

Excellent organizational skills with attention to detail

Bilingual (English/Spanish) strongly preferred
