The Executive Office Administrative Assistant monitors media and news websites, as well as publications, to update the executive staff on industry issues, surrounding communities, and local governments. This position works on projects that might include researching issues, transcribing audio, or planning and coordinating presentations or training events. The Executive Office Administrative Assistant is the first point of contact for guests and customers and is responsible for administrative duties, such as answering and directing incoming calls, and opening and distributing mail.
High school diploma or its equivalent
At least four years of administrative experience in a corporate setting
Must be consistently punctual
Must demonstrate superior phone etiquette and interpersonal skills
Excellent written and verbal communication in English
Proficiency with business English and basic math
Proficiency with the Microsoft Office suite – e.g., Word, Excel, Outlook, PowerPoint
Proficiency with Adobe Professional software
Experience handling sensitive or confidential information
Knowledge of filing methods, office practices and procedures
Strong research and organizational skills with excellent attention to detail
Must be able to work independently on assigned tasks as well as collectively with the administrative team associates
Professional appearance and demeanor
Bachelor’s degree
Bilingual in English and Spanish
Experience with multi-line phone system
Ability to type 60 wpm
Valid Class C driver’s license
Safe driving for the last three years
