In this vital role, you will serve as the first point of contact for visitors and callers, providing exceptional customer service while capable of working with limited supervision. Duties
- Greet visitors warmly and professionally in both English and Spanish, creating a welcoming atmosphere.
- Operate multi-line phone system efficiently, directing calls and taking detailed messages when necessary.
- Manage front desk responsibilities, including scheduling appointments, maintaining client logs, and handling outgoing mail.
- Perform data entry tasks such as updating clients' records and case information into the firm's case software management system.
- Assist with office management duties, including calendar management, organizing meetings and doctors' appointments for clients, and supporting administrative tasks to ensure smooth daily operations.
- Provide customer support by answering inquiries promptly and offering courteous assistance to clients and staff alike.
- Doing entry-level paralegal work and receiving on-the-job training.
Experience
- Required: Bilingual - Able to fluently read, write, and speak both Spanish and English.
- Education: high school required; an associate's or bachelor's degree.
- Previous administrative or other professional office experience preferred.
- Strong clerical skills, including data entry and document management.
- Excellent customer service skills with professional phone etiquette and the ability to handle multiple tasks efficiently.
- Someone reliable, trustworthy, punctual, and drama-free.
- Has own transportation.
- No criminal background.
