Texas Glass Associates is seeking a highly organized and motivated Administrative Assistant to
become an integral part of our office team. This position supports the daily administrative
operations of the business while assisting our estimating and project management departments
with organizing information, maintaining records, and ensuring projects move efficiently from
bidding through completion.
The ideal candidate is dependable, detail-oriented, enjoys staying organized, and can effectively
manage multiple responsibilities in a fast-paced office environment.
Primary Responsibilities
Responsibilities include, but are not limited to:
• Manage incoming email communications and route correspondence appropriately
• Answer incoming telephone calls and provide exceptional customer service
• Greet customers, vendors, and visitors professionally
• Enter customer orders accurately into company systems
• Track customer orders from receipt through completion
• Monitor project timelines and assist with keeping projects on schedule
• Maintain estimating logs, including:
◦ Estimates currently in progress
◦ Submitted estimates
◦ Awarded projects
◦ Pending bid opportunities• Track project leads and maintain an organized lead database
• Maintain organized digital job files, project documents, and company records
• Assist with project correspondence between customers, vendors, subcontractors, and field
personnel
• Order, receive, and maintain office supplies and equipment
• Assist in preparing bid proposals, contracts, purchase orders, and project documentation
• Support project managers and estimators with administrative tasks
• Perform general office duties to ensure efficient daily operations
Required Qualifications
• High school diploma or equivalent
• Excellent organizational and time management skills
• Strong written and verbal communication skills
• Professional, courteous, and customer-focused attitude
• Strong attention to detail and accuracy
• Ability to prioritize multiple projects and meet deadlines
• Self-motivated with the ability to work independently
• Proficient in Microsoft Office, including Word, Excel, Outlook, and Adobe Acrobat
Preferred Qualifications
• Previous experience in an administrative or office assistant role
• Experience working in construction, commercial subcontracting, or project
administration
• Familiarity with estimating or project coordination processes
• Experience maintaining digital project records and documentation
Ability to learn new software and office systems quickly
Strong organizational skills
